Position Summary
The Administrative Assistant will support the Rector’s Envoy at GUGC in the execution of her duties as Acting Senior Administrative Leader of the Ghent University Global Campus, with responsibility for the overall operational management of the campus.
In this role, the Administrative Assistant will contribute to the coordination and follow-up of a wide range of administrative and organizational activities. The tasks include working closely with campus management, academic leadership, academic staff, administrative staff, as well as representatives of teaching and research assistants and the student body. The position requires frequent interaction with multiple stakeholders across the campus and supports effective communication in particular with the local staff, alignment, and implementation of operational decisions.

Key Responsibilities
  • Provide operational support across administrative domains under the responsibility of the Rector’s Envoy. This includes assisting with the coordination, follow-up, and implementation of administrative and organizational processes related to the overall operational management.
  • Manage the day-to-day activities of the Rector’s Envoy. This involves supporting the planning, organization, and prioritization of daily tasks, meetings, and ongoing dossiers, as well as ensuring continuity of operations and timely follow-up on actions and decisions.
  • Work closely with all members of the GUGC community. The position requires regular interaction and collaboration with the GUGC community fostering effective communication and cooperation across the campus.
  • Facilitate collaboration with the UGent Doctoral School, and support the research activities and research stays of UGent researchers who are coordinated and/or supervised at GUGC by the Rector’s Envoy.
Qualifications and Competencies
  • Bachelor’s degree. A completed Bachelor’s degree is required. Candidates are expected to demonstrate a solid academic background that enables them to operate effectively in an academic and administrative environment.
  • Familiarity with GUGC. Familiarity with the organizational structure of Ghent University Global Campus, as well as with its teaching activities and research profile, is considered an important asset, as it will allow the candidate to integrate quickly into the campus context and support ongoing operations efficiently.
  • Flexibility regarding working hours (within legal limits) and the ability to adapt to changing priorities, tasks, and institutional needs in a dynamic international campus environment.
  • The capacity to work independently in the absence of the Rector’s Envoy, to manage tasks proactively, and to take responsibility for assigned activities with limited supervision.
  • Interpersonal and communication skills. Proven ability to interact constructively and respectfully with a wide range of members of the campus community, including academic staff, administrative staff, teaching and research assistants, and students.
  • Willingness to learn and openness to feedback. Demonstrated motivation to learn, combined with the ability to proactively seek feedback, reflect on it constructively, and continuously improve performance and skills in a professional environment.
  • Language skills. A good level of proficiency in English and native-level proficiency in Korean are required, as the position involves regular communication in both languages.
